The position will support the HR Recruitment Team with a variety of administrative tasks. Perform daily HR functions such as supporting the pre-employment, interview process, and new hire process. In addition to related tasks such as data entry and HRIS document management/maintenance of confidential employee documents.
Essential Duties
Recruitment Support
- Review resumes and attach to appropriate job requisition
- Add applications to our applicant tracking system (iCIMS) and assign them to the appropriate job requisition
- Provide candidate info to recruitment team to screen
- Send weekly orientation email to Employee Development Team and IT Team
- Send weekly orientation emails to new hires
- Schedule hotel stays for out of area new hires for orientation
- Communicate with applicants via email - No Thank You applicant letters and rescinded offer letters/Change applicant status
- Ensure new hire profiles have the appropriate paperwork loaded – prior to orientation
- Participate in entering new hire data and internal department audits
- Attend job fairs/career fairs with recruitment team members
- Assist in managing and maintaining social media recruitment platforms
New Hire Orientation
- Facilitate parts of New Hire Orientation - Kronos/HR Paperwork/HR Policy & Procedure Module
- Manage I9s and W2 completion during orientation
- Manage Pre-employment Process/Portals – drug screen/physical/background
- Assign new hires to orientation class
- Partner closely with Learning & Development Team on new hires tracking and assigned orientation class
Administrative Support
- Manage Birthday Card process
- Generate and provide employee newsletter information (monthly)
- Manage Business Card Ordering Process
- Other duties may be assigned
Required Qualifications
- A minimum of (2) two years’ administrative experience
- Experience presenting in front of small groups
- Experience attending Job Fair/Career Fair/Trade Show
- Experience working on items requires a strong need for accuracy
- Highly organized and able to manage time, projects and deadlines well
